PortX is a leading AI-powered data and integration company for modern banking, bringing systems together and data to life through our unified platform for modern integration, governed Customer 360 data, and next-generation payments.

Role Summary:

We're looking for a Marketing Coordinator to be the operational core of our marketing function.

Working closely with our VP of Marketing, you'll be exposed to the full marketing mix: events, organic social, paid media, content, analytics, and thought leadership with real ownership from day one. This is a hands-on role designed for someone early in their career who wants exposure to every lever a modern B2B marketing team pulls, and the variety, pace, and mentorship to grow fast.

Primary Objectives:

  • Keep all marketing projects and campaigns on track, documented, and delivered on schedule.

  • Maintain HubSpot data accuracy, list segmentation, and integrations with the website and external systems.

  • Support webinars, events, and outbound campaigns through logistics, setup, and follow-up.

  • Execute organic social, paid media, and email marketing

  • Ensure that marketing operations and systems function smoothly day-to-day.

Key Responsibilities:

Project & Campaign Coordination

  • Maintain the master marketing calendar and project tracker, ensuring visibility of deliverables, owners, and deadlines.

  • Create and manage task lists, dependencies, and follow-ups in the team’s project management system (Monday.com).

  • Support campaign setup and coordination from content handoff to deployment readiness.

  • Track campaign status, update internal documentation, and escalate blockers when needed.

  • Prepare weekly summaries or dashboards of campaign progress for team review.

Event, Webinar, and Podcast Logistics

  • Manage scheduling, setup, and attendee communications for webinars, podcasts, and virtual events.

  • Coordinate guest logistics (invitations, reminders, and prep materials).

  • Support asset coordination (slides, visuals, recordings, and promotional content).

  • Compile post-event reports (registrations, attendance, engagement metrics).

Outbound, Social, and Content Execution

  • Coordinate and schedule social media posts across company channels using provided assets.

  • Assist in publishing email campaigns, outbound sequences, and newsletters.

  • Create or adapt templated visuals (e.g., Canva) for blog and social use — following brand guidelines.

  • Support uploading and publishing blogs, videos, and case studies on the website or via HubSpot.

  • Track content performance and maintain a content inventory (e.g., campaigns, assets, usage).

Reporting & Documentation

  • Support analytics and reporting across all marketing channels, helping build dashboards, surface insights, and prepare regular performance reviews for leadership.

Team Administration & Process Support

  • Prepare agendas, notes, and action lists for weekly marketing meetings.

  • Track marketing assets, vendor invoices, and project budgets as directed.

  • Maintain consistent internal documentation for processes, templates, and campaign workflows.

  • Help standardize repeatable checklists for events, webinars, email campaigns, and outbound programs.

Competencies Required:

Organizational Strength:

  • Skilled at managing multiple projects and priorities with minimal oversight.

Technical Confidence:

  • Skilled in productivity software - Gsuite/Office 365

  • Some working knowledge of Project management tools (e.g. Monday, Confluence)

  • Some working knowledge of Marketing automation (HubSpot, Marketo, or Pardot)

  • Some working knowledge of Social ad platforms: LinkedIn Ads, Google Ads, Meta Ads,

  • Some working knowledge of Google Analytics

  • Some working knowledge of CMS (e.g. WordPress, or Framer)

  • Some working knowledge of Social scheduling and monitoring tools e.g. Hoot suite, SEMrush

  • Some working knowledge of Non-expert design tools like Canva

  • Familiarity and passion for AI tools (ChatGPT, Claude, Gemini, or similar) with a genuine passion for finding ways to embed AI into day-to-day marketing workflows from content drafting and research to campaign analysis, reporting, and creative production. We want someone who is actively experimenting with how AI can make marketing faster, smarter, and more effective.
